Assistant Community Manager

POSITION SUMMARY:

The Assistant Community Manager supports the Community Manager in the daily operation and performance of a manufactured housing community. This role carries out rent collection, resident service, leasing and sales support, recordkeeping, and office administration, and keeps the community running when the Community Manager is away. It is a hands-on role and a clear path toward Community Manager for someone who wants to grow into full site responsibility.

This is a fully on-site role, requiring a consistent physical presence at the community to support day-to-day operations and resident needs.

Operational Support

  • Support the daily operations of the manufactured housing community, and follow company policies and local and state regulations.
  • Conduct regular property walks and inspections, and report curb appeal, safety, and maintenance issues to the Community Manager.
  • Carry out the rent collection process, including posting payments, issuing receipts, and preparing late notices under the direction of the Community Manager.
  • Coordinate day-to-day work with maintenance staff and vendors, and track completion of service requests and home turns.
  • Track lot and home inventory, including vacant lots, company-owned homes, and homes in turn, and keep the inventory record current.
  • Assist with utility billing and pass-throughs where applicable, including meter reads and first-level response to billing questions.
  • Document community rule and lease violations, prepare notices for Community Manager review, and maintain the violation file.
  • Obtain vendor certificates of insurance and tax forms, schedule vendor visits, and confirm work is complete before submitting invoices for approval.
  • Emergency/severe-weather point of contact and general day-to-day authority during CM absence, scoped by Regional Operations Manager approval.

Financial Support

  • Assist with preparation of the annual operating budget by gathering data, invoices, and historical details.
  • Code and submit invoices for Community Manager approval and follow up on billing discrepancies.
  • Track delinquency daily, make resident outreach calls, and document payment arrangements approved by the Community Manager.
  • Maintain petty cash, prepare deposits, and issue receipts in line with company financial controls.
  • Prepare recurring operating, occupancy, and delinquency reports for Community Manager review.

Leasing & Sales Support

  • Support the community leasing and sales function, including responding to inquiries, scheduling appointments, and showing available homes and lots.
  • Log all leads and walk-in traffic in the company system, and keep the pipeline record current.
  • Assist prospective residents with applications and required documentation, and prepare files for screening and approval.
  • Present homes, pricing, and terms only from company-approved materials, and refer questions about financing, incentives, or fees to the Community Manager.
  • Conduct all leasing and sales support activity in strict compliance with Fair Housing and advertising requirements.

Resident Relations

  • Serve as a first point of contact for residents, and respond to calls, emails, and walk-ins promptly and professionally.
  • Log resident concerns and service requests, route them appropriately, and follow up until they are closed.
  • Prepare and distribute resident notices, newsletters, and community communications as directed.
  • Assist with community events and programs that support resident engagement and retention.
  • Conduct move-in orientations, and complete move-in and move-out inspections with supporting photos and documentation.
  • Apply company policies and Fair Housing requirements consistently in every resident interaction.

Team Support

  • Direct and support on-site staff on daily task priorities as assigned by the Community Manager.
  • Help onboard and train new on-site team members on company systems and procedures.
  • Report performance or conduct concerns to the Community Manager rather than acting independently on discipline.

Compliance & Recordkeeping

  • Maintain accurate records of leases, rent payments, work orders, and other community documentation in company systems.
  • Maintain resident files, home titles, and lease documents, and safeguard resident personal and payment information.
  • Track community licenses, permits, registrations, and inspection due dates, and alert the Community Manager ahead of deadlines.
  • Report incidents, injuries, and property damage to the Community Manager promptly, and complete the required documentation.
  • Prepare and submit required reports to the Community Manager and corporate management on the required cadence.

QUALIFICATIONS:

 Education & Experience

  • Ability to read and write at a high school level required; high school diploma or equivalent is preferred.
  • Administrative, leasing, or property management experience preferred; direct experience in manufactured housing communities is a plus.
  • CAM (Certified Apartment Manager), MCM (Manufactured Community Manager), or similar certification a plus, or willingness to pursue certification.
  • Ability and willingness to work on-site at the community on a full-time basis.
  • Interest in advancing to a Community Manager role.

Skills & Competencies

  • Strong organizational skills and attention to detail.
  • Clear written and spoken communication with residents, prospects, vendors, and staff.
  • Knowledge of property management software (e.g., Yardi, Rent Manager, AppFolio), or willingness to learn.
  • Basic proficiency with email, spreadsheets, and mobile applications.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Customer service-oriented with strong problem-solving abilities.
  • Working knowledge of Fair Housing Laws and landlord-tenant regulations, or willingness to complete training.
  • Ability to read and act on a rent roll and a delinquency report.
  • Willingness to hold difficult conversations, including delinquency and rule violations.
  • Ability to write clear notices, incident reports, and resident correspondence.
  • Discretion with resident information, payment data, and personnel matters.

  • Employment is contingent on satisfactory completion of a background screening.
  • Cash handling responsibilities may require additional screening where permitted by law.
  • Must complete company-required Fair Housing, safety, and anti-harassment training as assigned.

PHYSICAL REQUIREMENTS & WORKING CONDITIONS:

  • This position is primarily office-based at the Midway and Vista Verde communities in Claremore, OK.
  • The role requires extended periods of sitting at a desk and working on a computer, with frequent typing and reading.
  • The role requires occasional standing, walking, bending, and reaching to file and retrieve records.
  • The role requires the ability to lift, carry, push, and pull up to 25 pounds occasionally, such as office supplies and file boxes.
  • Regular walking of the community grounds outdoors in varying weather conditions may be required.
  • May require availability for emergency calls or after-hours issues.
  • Office hours are Monday - Friday, 8:00 AM–5:00 PM. Everabode reserves the right to modify office hours as needed and may request hours to be worked outside the regular schedule, including split shifts, with advance notice.

COMPENSATION & BENEFITS:

  • Position type: Full-time, hourly
  • Pay: hourly rate based on experience and qualifications.
  • Overtime is paid in accordance with federal and state law.
  • Benefits: medical, dental, and vision; paid time off; paid holidays; retirement plan; and Company branded shirts provided.
  • This position is not eligible for sales or leasing commissions. 
  • The leasing and sales support duties described above are part of the base role and are compensated through base pay.
